OCR (Optical Character Recognition) turns handwriting into digital text. When OCR is turned on, the digital text is superimposed on the whiteboard image, effectively replacing handwriting with characters. The OCR feature has a number of uses:
- Makes whiteboard content more legible, especially when the writer has messy handwriting
- Enables whiteboards to be searchable. In combination with the Timeline feature, you can now search across all versions of the whiteboard in a session.
- Enables language translation - see content updated in real time in choice of French, German, Spanish, Japanese or Chinese
OCR and Language Translation are available now as part of Kaptivo Enterprise Edition and Kaptivo for Zoom Rooms Enterprise Subscriptions. Customers wishing to upgrade to an Enterprise model or subscription level should contact firstname.lastname@example.org
- Kaptivo Enterprise standalone or Enterprise subscription
- Kaptivo Firmware Version 3.2.0 or higher (see FW Releases)
- Cloud Mode enable
This feature makes use of 3rd-party cloud-services from Microsoft and Google and is disabled by default. To enable the feature, within the ‘Kaptivo Insight’ management portal or the admin web interface, an administrator must first accept the latest Kaptivo Terms of Service.
How to Enable the Feature
Enable via Kaptivo Insight
The Kaptivo Insight management portal provides a convenient web-interface to manage one or more Kaptivo systems. Log into to Kaptivo Insight at https://my.kaptivo.com
On the Account tab, the Account Settings section can be edited by clicking on the 'pen' icon at the top-right of the section area.
The three options for 'Allow Third Party Services (OCR, Translation) are:
- Per Kaptivo
Selecting 'Yes' allows the feature to be enabled for all Kaptivos managed by that Kaptivo Insight account.
Selecting 'No' prevents the feature from being used by any Kaptivo managed by that Kaptivo Insight Account.
Selecting 'Per Kaptivo' allows the feature to be enabled or disabled, per device, via the admin web interface (accessed via https://kaptivo.com/setup)
When a setting is changed, click on the 'Save' icon on the top right of the area. Before the setting can be enabled, the admin user will be asked to review and accept the updated Kaptivo Terms of Service which describes that this feature makes use of cloud services provided by Microsoft and Google. Enable via Admin Web Interface (aka 'Config App')
If a Kaptivo Enterprise unit is not associated with a Kaptivo Insight account, or if the Insight account has been set to 'Per Kaptivo' as described in the previous section, then it is possible to enable and disable this feature via the Admin Web Interface.
This can be accessed from https://kaptivo.com/setup
Click on 'Reconfigure a Kaptivo already on your network':
Enter the 6-letter Kaptivo ID:
Go to the 'Device' tab, and the 'Operation Mode' section now contains a new setting labelled: 'Allow Third Party Services (OCR, Translation)'. Click on the slider to enable.
If you have set your Operation Mode to "Local Mode (Self Hosted)" you will not see this option.
